Take One Productions takes the privacy of all persons involved in the production of video, film, and audio marketing material very seriously. That extends to the individuals working for our corporate clients as well as members of the public who interact with us as we create marketing, informational and/or entertainment materials.
We collect information about our clients as well as other individuals to conduct our legitimate business as a creative production company. We act as data processors for our clients when creating audio, film, video or any other kind of audio-visual content. The content we produce is – in the main – solely owned by our clients (in terms of copyright) and as such means that they are responsible for data of individuals who appear or contribute to those materials. When appearing or contributing to those materials please refer to our individual client’s privacy policy.
As data processors working on behalf of our clients we are responsible for the security and privacy of personal data whilst it is in our care.
We collect the information on behalf of our clients to write, produce, edit and deliver our productions. The data has been deemed necessary for the legitimate conduct of our production business.
It is collected in writing, via video and stills images and audio, as well as other forms of graphic design. This is done to enable the production of videos, films, AV slide shows, PowerPoint presentations, and all other forms of marketing or informational communication.
When we film, take pictures of, or interview subjects (individuals working for our clients or members of the public on behalf of our clients) we will ensure that they give consent verbally or by signed consent form (which ever our client has stipulated we should use), whilst informing them of our client’s privacy policy and making it available to them to read (either on paper or via web link).
When filming at a public gathering organised by our client – a conference, training session, or workplace – then we will ensure that an explicit statement is available (and obvious) for all attending giving them the option to read our client’s privacy policy or to opt out of appearing on camera (or be quoted by name). The ultimate responsibility for data privacy resides with the data controller, i.e. the specific client for whom we are working.
If our client asks us to obtain signed release forms for each person who is filmed, pictured or asked for a quote, we will ensure that happens and provide the release forms to the client. This gives every individual ample opportunity to opt out of taking part in any form of audio visual representation.
Once we have gathered our material in any of the forms mentioned above, we will ensure its security: that includes video or film ‘rushes’ (unedited footage) on any and all formats (tape, SD card, film), sound recordings, stills images, and project files with personal data included in printed or hand-written forms.
Those materials will be secured in our vehicles or on our premises. They will then be transferred and/or copied for the legitimate purposes of editing and production of the final output. This will be done on our edit suites, or those of third-party specialist editing companies with whom we contract, and which have strict privacy policies of their own.
As we create the final output video or audio material will be shared securely with the client via a service such as Vimeo. We use a password protected account and only authorised persons can access client content. We will keep a record of all those who have authorisation as well.
Once the final production is complete and signed off by the client, we will send it via We Transfer, a reputable file transfer service with its own privacy policy. That transfer will be the final master of the finished programme and is the property of the client. Their usage of it then becomes entirely their responsibility in terms of law.
We will only use material from that programme (either in its entirety or in the form of clips) for our own marketing purposes (on the web, at events, or at individual meetings with prospective or existing clients), unless specifically requested not to by the client that owns the original material.
Our own databases are used for the purposes of conducting our legitimate business (keeping clients informed and/or marketing) will be protected to ensure privacy. We do not sell any details to third-parties and will never do so. We will only use the private data to conduct our legitimate business interests as a production company. Any person on our database has the right at any time to have their details permanently deleted from it.
